About the Job
Key Responsibilities
- Oversee and manage service contracts, spare parts order processing, shipping, and documentation for North America customers;
- Interface with logistics providers and monitor shipment status;
- Establish and optimize logistics workflows and customer service processes;
- Monitor team and vendor performance to ensure service levels and on-time delivery;
- Provide responsive and professional support to customers and internal teams;
- Collaborate with supply chain, service, and sales teams to resolve operational issues efficiently;
- Maintain accurate records of customer interactions and logistics operations;
- Ensure compliance with shipping regulations, company SOPs, and U.S. administrative procedures;
- Ensure steady yearly growth of after-market income, with full coordination and guidance from global HQ
Administrative Management:
- Oversee day-to-day administrative functions of Atlantium’s North America subsidiary;
- Act as the key administrative focal point between Atlantium USA and global HQ;
- Support compliance with local legal, financial, and tax reporting requirements in coordination with external service providers;
- Manage Atlantium’s vendor registration and related administrative documentation with customer;
- Handle customer invoicing and payment collection processes;
- Lead administrative projects and support decision-making with accurate reporting;
- Support onboarding processes and coordination with HR and finance teams;
- Maintain organized records, contracts, and administrative documentation.
Requirements:
- 5+ years of experience in administrative and/or operations management, preferably in an international organization;
- Experience working with or for U.S. based entities;
- Knowledge of financial and administrative processes (invoicing, vendor coordination, reporting);
- 2+ years of experience in logistics, customer service, or operations support;
- Strong communication skills and fluent English (spoken and written);
- Experience with ERP systems (Priority – advantage);
- Proven ability to manage cross-functional processes and external service providers;
- Detail-oriented, reliable, and committed to excellent service;
- Ability to work independently and manage multiple priorities.
